Summary:

Under the direction of the Project Manager, the Project Manager Assistant helps coordinate all administrative duties pertaining to the project delivery process, including but not limited to correspondence with the owner, general contractor, vendor and field personnel. Assists with organizing and controlling release of project order documents to support the project schedule.

Essential Duties and Responsibilities:

This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time. The following list of duties and responsibilities apply to the Project Manager Assistant position, unless otherwise noted.
• Microsoft Office knowledge and experience is required
• Coordinate major purchase orders by forwarding vendor quote to Purchasing and obtain Purchase order. Upon receiving purchase order from PM, log in and distribute to field.
• Gather request submittal from vendors, as provided by PM/ General Foreman, and transmit submittal to general contractor per architect specifications.
• Track stages of submittal on spreadsheet report.
• Oversee issuing formal release to vendor and issue delivery coordination.
• Track and log releases/ approvals to spreadsheet report and follow up with vendor on shipping confirmation.
• Prepare Quotes, Invoices, and Extras by composing letter using proper format for type of work and submit to customer after PM review.
• Must track and log in progress of quotes, invoices, and extras on spreadsheet report.
• Coordinate Change Orders once approved by PM by submitting a change order update letter to general contractor/owner.
• Maintains Panel Directories by using a template with type of panel directories from information provided by the field.
• Coordinates As Builts- Project Close Out by submitting as-built drawings to CAD department, where applicable, and transmit as-builts to Owner/GC, per specifications.
• Once reviewed by PM, submit close out letters to Owner/GC, as applicable; warranties, NFPA reports, testing and acceptance reports.
• Administer Quality program – Project Close Out by providing the QA program and inspection checklists to the field.
• Must submit completed inspection reports to Owner/GC and copy to server.

Qualifications, Knowledge and Skills:
• High School diploma or equivalent.
• Ability to operate standard office equipment, copier/printer, scanner, plotter, telephone and computer.
• Solid skills with Microsoft Outlook, Word, Excel, etc.
• Ability to work well in a team environment
• Excellent written and verbal communication skills, while being self-motivated and maintaining a positive attitude while working under pressure.

Education and/or Experience:

Must possess a high school diploma, or equivalent. Office support experience is desired.
